Facilities Technician
Job Description
Purpose
The Facilities Technician I serves as a member of the Workplace Services team within the Corporate Services department and reports to the Workplace Operations Manager. The role is primarily responsible for hands-on facilities and workplace operations support, including mailroom and shipping functions, building service requests, office equipment and furniture maintenance, workspace moves and reconfigurations, common-area upkeep, and meeting and event support. The position also provides administrative support through scheduled front desk coverage, department inbox monitoring, and access control key card administration. The ideal candidate is service-oriented, organized, mechanically inclined, and able to communicate effectively with employees, contractors, building engineers, and vendors. This contract position may offer the opportunity for conversion to regular employment based on business needs and individual performance.
Major Accountabilities
Facilities & Workplace Operations (75%)
- Support mailroom, shipping, and receiving functions, including processing interoffice mail and FedEx, UPS, USPS, and courier packages.
- Coordinate building work orders, service requests, and access requests through property management systems, following up with building engineers and vendors as needed.
- Support workspace moves, reconfigurations, and workstation set-ups, including assembling and adjusting office furniture and ergonomic equipment and updating related signage, directories, and seating information.
- Troubleshoot, maintain, and perform minor repairs on office furniture, equipment, and appliances, escalating complex or specialized issues as needed.
- Maintain common areas, kitchens, conference rooms, and support spaces, including stocking supplies and participating in periodic deep cleaning and maintenance projects.
- Support on-site meetings, events, maintenance activities, and occasional weekend projects, including room set-up, furniture arrangement, tear-down, and related supply coordination.
- Participate in quarterly deep cleaning, maintenance projects, and occasional weekend support as needed.
Administrative Support (25%)
- Provide front desk and administrative support Tuesday through Thursday mornings, including greeting visitors and vendors, answering and routing calls, monitoring the department email inbox, and responding to or directing requests as appropriate.
- Administer access control key cards for employees, contractors, visitors, and service providers in accordance with the Bank’s Physical Security Standards.
- Perform other related duties as assigned.
Skills/Knowledge
- High school diploma or equivalent required. Relevant vocational, technical, or post-secondary coursework in facilities, business administration, or a related field preferred.
- Minimum of three years of experience supporting facilities, office services, workplace operations, or administrative functions in a corporate environment, with experience performing both administrative coordination and hands-on facilities or maintenance responsibilities preferred.
- Ability to lift up to 50 pounds or participate in team lifts for heavier items.
- Working knowledge of Microsoft Word, Excel, Outlook, and web-based work order or property management systems.
- Strong customer service, interpersonal, and communication skills, with the ability to interact professionally with employees at all organizational levels and external vendors.
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
- Demonstrated mechanical aptitude and ability to independently troubleshoot and resolve routine facilities, operational, and service issues, including assembling or adjusting office furniture, ergonomic equipment, and related workplace items.
- Knowledge of general office practices, shipping and receiving processes, building services, and workplace safety procedures preferred.
- Ability to work collaboratively in a team-oriented environment and provide occasional weekend support for maintenance or special projects.
