The successful candidate will act as a trusted right-hand support to the Director, ensuring the smooth management of day-to-day operations, communications, reporting and diary commitments.
\nThe Role
\nAs PA / Executive Secretary, you will provide comprehensive administrative, secretarial and organisational support to the Director. You will act as a key point of contact across the business, demonstrating professionalism, discretion and the ability to anticipate requirements before they arise.
\nKey Responsibilities

- Manage and coordinate the Director's busy diary, appointments and schedule. \n
- Act as gatekeeper for emails, telephone calls and correspondence, prioritising matters appropriately. \n
- Arrange and coordinate internal meetings, external meetings and Microsoft Teams meetings. \n
- Prepare and type correspondence, reports, letters and emails from dictation, ensuring exceptional accuracy. \n
- Liaise with contractors, consultants and external service providers on behalf of the Director. \n
- Provide proactive administrative support and anticipate the Director's needs. \n
- Collect, analyse and format information for Board Reports and management presentations. \n
- Produce and maintain reports, spreadsheets and management information using Microsoft Excel. \n
- Maintain electronic filing systems and ensure documentation is stored in line with company procedures. \n
- Undertake internet-based research and information gathering as required. \n
- Build strong working relationships with colleagues, suppliers and external stakeholders. \n
- Act as a central point of contact for enquiries and requests. \n
- Maintain office systems, records and filing structures. \n
- Order and manage stationery and departmental supplies. \n
- Ensure all administrative processes and documentation remain accurate and up to date. \n
About You
\nTo be successful in this role, you will have:
\n- \n
- Previous experience in a PA, Executive Assistant, Executive Secretary or senior administrative support position. \n
- Advanced Microsoft Office skills, particularly Excel and Outlook. \n
- Strong audio typing and dictation experience with fast, accurate typing skills. \n
- Experience producing reports, presentations and management information. \n
- Excellent organisational and time-management abilities. \n
- The ability to prioritise workloads and manage multiple tasks effectively. \n
- Strong written and verbal communication skills. \n
- Exceptional attention to detail. \n
- A professional, confident and discreet approach when dealing with confidential information. \n
- Experience working with senior stakeholders and leadership teams. \n
Desirable Experience

- Preparing Board Reports and presentation materials. \n
- Experience using Microsoft Teams and collaborative working platforms. \n
