We're looking for a proactive Sales Administrator / Resourcer to become an integral part of our business, supporting our Managing Directors and sales team while helping us attract and engage the very best talent.

The Role

\n

This is a varied position combining administration, compliance, recruitment resourcing and marketing. You'll play a key role in keeping the office running smoothly while supporting the recruitment process from candidate attraction through to placement.

Key Responsibilities

\n

Administration & Compliance

\n
    \n
  • Provide comprehensive administrative support to the Managing Directors.
  • \n
  • Maintain spreadsheets, reports, branch figures and client documentation.
  • \n
  • Manage candidate compliance, including Right to Work and ID checks.
  • \n
  • Format candidate CVs and maintain accurate candidate records.
  • \n
  • Manage and maintain our recruitment database (Oli Office), including reporting, updates and compliance monitoring.
  • \n
  • Carry out quarterly audits to ensure compliance with Conduct Regulations and company processes.
  • \n
  • Assist with contracts, legislative updates and document retention.
  • \n
  • Monitor and manage references for candidates.
  • \n
  • Produce placement information for invoicing.
  • \n
  • Maintain office procedures and internal documentation.
  • \n
  • Assist with annual policy and procedure reviews.
  • \n
  • Ensure GDPR and Data Protection compliance.
  • \n
  • Manage office stationery supplies and budget.
  • \n
  • Act as the main point of contact for operational IT issues.
  • \n
  • Ensure all correspondence and literature produced is professional and accurate.
  • \n
  • Update telephone messaging for bank holidays and seasonal closures.
  • \n

Recruitment Resourcing

  • Support the recruitment team by attracting, sourcing and interviewing candidates.
  • \n
  • Write engaging and accurate job adverts.
  • \n
  • Advertise vacancies across job boards, the company website and social media.
  • \n
  • Send candidate work confirmations.
  • \n
  • Maintain candidate availability records.
  • \n
  • Generate business leads from candidate conversations.
  • \n
  • Ensure all recruitment administration is completed accurately and in line with company procedures.
  • \n

Marketing

  • Assist with planning and delivering marketing campaigns.
  • \n
  • Produce regular client and candidate e-shots.
  • \n
  • Create marketing communications including payslip mailers, birthday cards, congratulations messages, Christmas campaigns and other promotional materials.
  • \n
  • Help generate creative marketing ideas.
  • \n
  • Plan and oversee content across LinkedIn, Facebook and Instagram.
  • \n
  • Monitor live job adverts and provide weekly updates to the sales team.
  • \n

About You

\n

We're looking for someone who is:

\n
    \n
  • Highly organised with exceptional attention to detail.
  • \n
  • An experienced administrator with strong organisational skills.
  • \n
  • Confident using Microsoft Office, particularly Excel, Word and Outlook.
  • \n
  • Fast and accurate with data entry and typing.
  • \n
  • A clear and confident communicator, both on the telephone and face-to-face.
  • \n
  • Able to prioritise a busy workload and meet deadlines.
  • \n
  • Comfortable working at pace while maintaining accuracy.
  • \n
  • Proactive, positive and willing to get involved in all aspects of the business.
  • \n
  • Ideally experienced within recruitment or a recruitment support environment (although this isn't essential if you have strong transferable administration skills).
  • \n
