Owen Reed is looking for an experienced Document Services Operator to join the Document Services team at a top law firm in London.

This is an excellent opportunity for a skilled legal document production professional with advanced Microsoft Office expertise, exceptional attention to detail and the ability to deliver high-quality work within demanding deadlines.

The Role\n

As a Document Services Operator, you will provide high-quality document production and technical support to lawyers and business services teams across the firm.

You will produce, amend and format a wide range of complex legal and business documents, ensuring that all work is completed accurately, efficiently and in line with the firm’s house style.

Key Responsibilities\n

  • Produce, revise and format complex legal and business documents.
  • \n
  • Compare documents and check cross-references and defined terms.
  • \n
  • Convert documents into Word, Excel, PowerPoint and Visio formats.
  • \n
  • Create and update tables of contents, tables of authorities and other automated document features.
  • \n
  • Create and run mail merges.
  • \n
  • Amend, compile and redact PDF documents.
  • \n
  • Create PDF forms, bookmarks and electronic closing binders.
  • \n
  • Create and reformat PowerPoint presentations in line with firm branding.
  • \n
  • Produce organisational charts, flowcharts and timelines using Visio and PowerPoint.
  • \n
  • Format Excel spreadsheets, prepare files for printing and use basic formulas and charts.
  • \n
  • Proofread and quality-check completed work to ensure accuracy and consistency.
  • \n
  • Provide technical assistance and software troubleshooting support to internal clients.
  • \n
  • Interpret detailed instructions and clarify requirements where necessary.
  • \n
  • Manage multiple assignments and provide regular progress updates.
  • \n
  • Maintain confidentiality across all documents and information handled.
  • \n
  • Deliver a responsive, professional and client-focused service.
  • \n
About You\n

We are looking for an experienced legal document production professional who takes pride in producing work of the highest standard.

The successful candidate will ideally have:

\n

  • Previous word processing or document production experience within a law firm or financial services organisation.
  • \n
  • Advanced Microsoft Word skills, including experience formatting complex legal documents.
  • \n
  • Advanced knowledge of Excel, PowerPoint, Visio and Outlook.
  • \n
  • Strong experience using Adobe Acrobat, OmniPage and Nuance Power PDF.
  • \n
  • Experience using legal document tools such as Litera Compare and DocXtools.
  • \n
  • Excellent proofreading skills and exceptional attention to detail.
  • \n
  • Strong written and verbal communication skills.
  • \n
  • The ability to interpret complex instructions and manage competing priorities.
  • \n
  • A proactive, flexible and collaborative approach.
  • \n
  • The ability to remain calm and professional while working to tight deadlines.
  • \n
  • A strong commitment to providing exceptional internal client service.
  • \n
  • Availability to work Thursday to Monday from 6:00 a.m. to 2:00 p.m.

  • The ability to work from the London office every Thursday and Friday.

A college degree or business qualification is preferred, although equivalent relevant experience will be considered.
