My client is a well established professional services organisation with a strong reputation for delivering exceptional service to both private and business clients. Due to continued growth, they are seeking an experienced and motivated Office Administration Team Leader to join their team based in Newcastle City Centre.

This is an excellent opportunity for an organised and proactive individual to lead a busy administration function, ensuring the efficient delivery of high quality administrative support while coaching and developing a dedicated team.

The Role

\n

Reporting to the Head of Central Services, the Office Administration Team Leader will oversee the day to day activities of the administration team, ensuring tasks are completed accurately, efficiently and within agreed service levels.

\n

You will play a key role in supporting operational excellence, driving process improvements and creating a positive and productive working environment.

\n

Key Responsibilities

  • Lead and coordinate the daily workload of the administration team.
  • \n
  • Allocate work effectively and monitor progress to ensure deadlines are achieved.
  • \n
  • Act as the first point of contact for operational queries, workload issues and team support.
  • \n
  • Provide guidance, coaching and mentorship to team members to promote high standards of performance and customer service.
  • \n
  • Support the recruitment, induction and ongoing development of administration staff.
  • \n
  • Review and enhance administrative processes and procedures to improve efficiency and consistency.
  • \n
  • Maintain accurate filing systems, records and databases in line with company policies and data protection requirements.
  • \n
  • Prepare reports, correspondence, documentation and meeting notes as required.
  • \n
  • Coordinate office supplies, equipment, stationery and general resources.
  • \n
  • Arrange maintenance and repairs for office equipment where necessary.
  • \n
  • Liaise professionally with internal departments, suppliers and external stakeholders.
  • \n
  • Support the organisation of meetings, events, appointments and travel arrangements.
  • \n
  • Monitor service standards and contribute to continuous improvement initiatives.
  • \n
  • Undertake general administrative duties and support wider business operations as required.

Skills and Experience Required

  • Previous recent experience in an Office Manager, Administration Team Leader, Senior Administrator or similar supervisory role.
  • \n
  • Strong organisational and time management skills with the ability to manage multiple priorities.
  • \n
  • Excellent communication skills, both written and verbal.
  • \n
  • Proven ability to build effective working relationships with a variety of stakeholders.
  • \n
  • High level of accuracy and attention to detail.
  • \n
  • Customer-focused approach with a commitment to delivering exceptional service.
  • \n
  • Ability to remain calm under pressure and work to tight deadlines.
  • \n
  • Strong problem solving skills and ability to work on your own initiative.
  • \n
  • Advanced IT skills, including Microsoft Word, Excel and Outlook.
  • \n
  • Professional and discreet approach when handling confidential information.
  • \n

Hours of Work

\n

Monday – Friday, 9:00am – 5:00pm (Some flexibility required).

\n
