Job Description

We are seeking a highly organised and proactive Events & Coordination Officer to support a dynamic international team. This role is ideal for someone who excels at managing events, coordinating stakeholders, handling complex logistics, and providing high-level operational support in a fast-paced, multi-geography environment.

Working closely with senior leaders and internal teams, you will play a key role in ensuring the smooth planning and delivery of meetings, events, communications, and programme activities.

Key Responsibilities

Events & Logistics Coordination

\n
    \n
  • Plan, coordinate, and support a range of meetings, workshops, events, and leadership engagements.
  • \n
  • Manage event logistics, including venue arrangements, travel coordination, scheduling, attendee communications, and supporting documentation.
  • \n
  • Ensure seamless delivery of both virtual and in-person events.
  • \n
\n

Stakeholder Coordination & Communications

\n
    \n
  • Act as a key liaison between Directors, Vice Presidents, Operations Directors, programme teams, and wider organisational networks.
  • \n
  • Coordinate communications with internal and external stakeholders across multiple regions and time zones.
  • \n
  • Build and maintain effective working relationships at all levels of the organisation.
  • \n
\n

Administrative & Operational Support

\n
    \n
  • Coordinate complex schedules, meetings, and leadership engagements.
  • \n
  • Research and organise logistics to support programme and operational activities.
  • \n
  • Manage a range of administrative tasks to ensure efficient day-to-day operations.
  • \n
\n

Meeting & Project Support

\n
    \n
  • Prepare briefing packs, agendas, presentations, reports, and meeting materials.
  • \n
  • Take accurate meeting notes, record action items, and support follow-up activities.
  • \n
  • Provide coordination and project support across key initiatives as required.
  • \n
\n

Reporting & Data Management

\n
    \n
  • Gather, organise, and analyse information to support decision-making.
  • \n
  • Produce reports, summaries, and insights for managers and senior stakeholders.
  • \n
  • Maintain accurate records and documentation.
  • \n
\n

Preferred Experience

  • Previous experience in events coordination, programme coordination, operations support, or a similar role.
  • \n
  • Experience coordinating senior stakeholder meetings and events.
  • \n
  • Experience supporting teams across multiple geographies and time zones.
