\nWe are seeking an organised and proactive Medical Secretary to provide comprehensive administrative and secretarial support to the Consultant Psychiatrist(s) and wider multidisciplinary team. The successful candidate will play a key role in ensuring the smooth day-to-day running of clinical services by managing medical correspondence, coordinating meetings, maintaining accurate patient records, and supporting effective communication across the hospital.
\nKey Responsibilities

- Provide high-quality secretarial support to Consultants and the wider medical team. \n
- Audio and copy type clinical correspondence, clinic letters, reports and discharge summaries. \n
- Manage Consultant diaries, appointments and meetings. \n
- Coordinate multidisciplinary team (MDT) meetings, preparing agendas, taking minutes and distributing actions. \n
- Maintain accurate electronic patient records and ensure documentation is filed promptly. \n
- Liaise professionally with GPs, CAMHS teams, families, commissioners and external healthcare professionals. \n
- Process referrals and support patient admissions and discharge administration. \n
- Answer telephone and email enquiries in a professional and confidential manner. \n
- Ensure all correspondence is completed within agreed timescales. \n
- Monitor Consultant inboxes and action communications appropriately. \n
- Support compliance with GDPR, information governance and confidentiality standards. \n
- Order office supplies and assist with general departmental administration as required. \n
Person Specification
\nEssential

- Previous experience working as a Medical Secretary or in a healthcare administrative role. \n
- Excellent audio typing and document production skills. \n
- Strong organisational and time management abilities. \n
- High level of accuracy and attention to detail. \n
- Excellent verbal and written communication skills. \n
- Proficient in Microsoft Office (Word, Outlook, Excel and Teams). \n
- Ability to prioritise workload in a busy clinical environment. \n
- Understanding of patient confidentiality and GDPR requirements. \n
