Overview:
Client is seeking a Contractor, US Meetings Management to provide support to the Meeting Management group. In this role, the candidate will be responsible for providing support on budgeting, planning, and execution. Depending on the meeting type and/or scope, they will act as either a supporting role or as a full-service planner and (depending on the meeting) use third party vendors to meet the business needs under the guidance of the department manager. Additional prime responsibilities will include supporting the ongoing initiatives of the group. These could include but are not limited to supporting the creation of different SOP's, financial processes, Cvent oversight, and the like.
The ideal candidate will possess strong project management skills, a keen eye for detail, and the ability to thrive in a collaborative environment. This role offers the opportunity to contribute to the planning and execution of programs and supporting the financial and administrative aspects of the team's operations.
Responsibilities:
• Demonstrate sound technical capabilities and mature interpersonal skills at all levels, both internally and externally.
• Understand and adapt to the corporate culture while keeping up with evolving priorities.
• Contribute to broader department programs and projects to drive organizational success.
• Take initiative and demonstrate self-motivation, flexibility, creativity, and collaboration in project development and execution.
• Focus on financial aspects, including creating and reviewing budgets, reviewing, submitting, and tracking vendor Statements of Work (SOWs), and conducting general finance audits.
• Maintain heightened attention to detail in tasks such as registration website creation and review, submission and tracking of conference sponsorships, Cvent audits, and related activities.
• Work collaboratively with members of the US Meeting Management team to plan and execute meetings, events, and conferences.
Requirements:
• Minimum of 5-10 years of strong project management experience.
• Minimum of 5 years of experience coordinating events, meetings, and/or conferences within a corporate setting.
• Cvent experience is required.
• Pharma experience is strongly preferred.
• Knowledge and experience working with healthcare professionals are strongly preferred.
• Proficiency in Microsoft Office suite.
• Excellent communication skills, both verbal and written.
• Ability to work to priorities with little supervision.
• Highly organized, detail-oriented, and flexible.
• Ability to thrive in a fast-paced environment and handle multiple projects with tight deadlines.
• Travel required 10-15%.
