At Brindisa we are looking for a highly organised, proactive and professional Executive Office Assistant to join our Head Office team and provide first-class support to our Executive Directors and Commercial Director.

About the role:

\n

As the Executive Office Assistant, you will provide professional administrative and executive support to three Executive Directors, while dedicating approximately 30% of your time to providing proactive PA support to the Commercial Director.

\n

You'll manage diaries, coordinate meetings and travel, prepare documentation, organise Board and Executive meetings, welcome visitors and ensure the day-to-day operation of the Executive Office runs efficiently. Working closely with the Executive & Board PA based in Spain, you'll help deliver a seamless Executive Office service across both countries while communicating confidently in English and Spanish with colleagues, suppliers and business partners.

Key Responsibilities

  • Provide proactive executive and administrative support to three Executive Directors, ensuring their diaries, meetings, travel and business commitments are managed efficiently.

  • Act as Personal Assistant to the Commercial Director, managing their inbox, diary and day-to-day administrative priorities to support the effective delivery of the Commercial function.
  • \n
  • Coordinate Executive Team, Leadership and Board meetings, preparing agendas, meeting packs, minutes and ensuring all meeting logistics run smoothly.
  • \n
  • Support the day-to-day operation of the Executive Office, including welcoming visitors, coordinating meeting rooms, hospitality and maintaining organised records and documentation.

  • Build strong working relationships across the business and act as a key point of contact for senior stakeholders, suppliers and external partners, communicating confidently in both English and Spanish.

  • Work closely with the Executive & Board PA based in Spain to ensure seamless coordination across both Executive Offices.

  • Prepare reports, presentations, correspondence and other business documentation to support Executive decision-making.
  • \n
  • Coordinate Executive Office administration, including travel, expenses, hospitality, gifts and office supplies.
  • \n
  • Support business projects, leadership meetings, company events and wider Executive Office initiatives.
  • \n
  • Handle confidential information with discretion while identifying opportunities to improve Executive Office processes and ways of working.

About you:

\n

You'll be a highly organised and proactive Executive Assistant, Personal Assistant or Executive Office professional with experience supporting senior leaders. You'll be fluent in both English and Spanish, possess excellent diary management and communication skills, and be comfortable managing multiple priorities while maintaining complete confidentiality.

\n

You'll have advanced Microsoft Office skills, exceptional attention to detail and enjoy building strong relationships with stakeholders at all levels. Experience supporting Board-level meetings or working within an international business would be advantageous
