Known for its collaborative culture and commitment to client service, it offers a supportive environment where employees are encouraged to develop their skills and build rewarding long-term careers.The Opportunity An exciting opportunity has arisen for an experienced Executive Assistant to provide high-level administrative and organisational support within a busy Private Client team.The successful candidate will play a key role in supporting legal professionals, ensuring the smooth day-to-day running of the team and delivering an exceptional client experience. This position would suit an organised, proactive and professional individual who thrives in a fast-paced environment and enjoys managing a varied workload.Key Responsibilities Provide comprehensive executive and administrative support to legal professionals within the Private Client team.Manage complex diaries, coordinate appointments, meetings and room bookings, and arrange refreshments where required.Handle new client enquiries and gather relevant background information.Proactively manage email inboxes, prioritising and responding to communications where appropriate.Prepare meeting documentation, itineraries, directions and supporting materials.Process incoming correspondence and maintain accurate records within document management systems.Monitor and manage workflow to ensure tasks and client work are completed within agreed timescales.Support fee earners during periods of absence by monitoring communications and managing urgent requests.Maintain and update client information, contacts, databases and case management systems.Draft letters of engagement and prepare client correspondence and documentation.Assist with billing processes, invoice management and expense administration.Support file opening, file management and file closure procedures.Assist with case management and broader team administration.Coordinate travel and accommodation arrangements and prepare supporting travel documentation.Prepare reports, spreadsheets, presentations and other documents to a high professional standard.Undertake minute taking and prepare meeting notes when required.Proofread documentation to ensure accuracy, consistency and professional presentation.Support business development, marketing and other specialist administrative activities when required.Provide cover and assistance across the wider support team during periods of absence or increased workload.Ensure compliance with information security policies and data protection requirements.Candidate Profile Essential Skills & Experience Previous experience as a Personal Assistant, Executive Assistant or within a similar administrative support role.Experience supporting professionals within a busy legal, financial or professional services environment.Excellent organisational skills with the ability to manage multiple priorities and deadlines.Strong communication skills with the confidence to engage effectively with clients and colleagues at all levels.A proactive and solutions-focused approach to work.Ability to work independently while also contributing positively as part of a team.Strong attention to detail and commitment to delivering high-quality work.Professional, client-focused and commercially aware approach.Excellent diary, inbox and workload management skills.Experience using Microsoft Office applications, including:Word (including track changes and mail merge)OutlookExcelPowerPointStrong document production, formatting and proofreading skills.Flexible approach to working practices and changing business needs.Desirable Previous experience within a private client, wealth management or professional services environment.Experience using legal practice management or case management systems.Experience using document management systems.Experience with dictation and workflow management software.Exposure to billing, finance administration and client matter management.Experience supporting business development and marketing activities.What's on Offer Competitive salary and benefits package.Opportunity to join a successful and growing legal practice.Ongoing training and professional development opportunities.Flexible and team-oriented culture.Modern office environment.Next Steps To learn more about this opportunity, please submit your application or contact our team on 0131 376 3376 .Due to the high volume of applications we receive, only shortlisted candidates will be contacted.If you have not heard from us within 5 working days of submitting your application, please assume that your application has not been successful on this occasion.Equal Opportunities Cross Resourcing is committed to promoting equality, diversity and inclusion in the workplace.
