\nReed Business Support is working with an established and growing business to appoint an experienced and motivated Senior Office & Facilities Coordinator to join their team on a full-time basis.
\nThis is an office-based role. We are looking for a proactive individual who can confidently oversee administrative and financial functions while supporting the continued growth and development of the business.
\nThe Role
\nAs a key member of the team, you will play a vital role in ensuring the smooth day-to-day running of the office, supporting operational activities, and managing administration. You will work closely with senior leadership and provide guidance and support to colleagues across the business.
\nKey Responsibilities

- Oversee and coordinate all office administration activities. \n
- Plan and schedule engineers for both reactive works and planned preventative maintenance (PPM) programmes. \n
- Deliver excellent customer service via telephone and email. \n
- Assist in the development and improvement of company systems, processes, and procedures. \n
- Manage day-to-day accounting functions and maintain accurate financial records. \n
- Prepare basic financial reports and management information for senior leadership. \n
- Administer subcontractor payments under the Construction Industry Scheme (CIS). \n
- Support budget management and financial forecasting activities. \n
- Provide administrative and financial support to senior leadership. \n
- Analyse financial data, identify trends, and make recommendations for improvement. \n
- Identify opportunities to streamline processes and enhance operational efficiency. \n
- Support and guide other team members when required. \n
- Contribute to the overall operational success of a busy and expanding office. \n
Day-to-Day Duties

- Coordinating office activities and workflow. \n
- Processing sales and purchase invoices. \n
- Maintaining accurate financial records. \n
- Managing administrative tasks and documentation. \n
- Supporting engineers, customers, and suppliers. \n
- Ensuring the efficient operation of the office at all times. \n
About You
\nThe ideal candidate will have previous experience in a similar office management or administration role and will be comfortable working within a fast-paced environment.
\nEssential Requirements
\n- \n
- Previous experience in a senior administration or office management role. \n
- Strong organisational, communication, and multitasking skills. \n
- Excellent attention to detail and problem-solving abilities. \n
- Experience with bookkeeping, accounting processes, and financial record-keeping. \n
- Strong written and verbal communication skills. \n
- Proficiency in Microsoft Office and office management systems. \n
- Experience using Xero accounting software. \n
- Experience managing CIS subcontractor payments. \n
- Ability to work independently and take ownership of key responsibilities. \n
Desirable Qualifications
\n- \n
- Experience within the construction, maintenance, or facilities management sector. \n
Hours, Salary & Benefits
\n- \n
- Full-time, permanent position. \n
- Monday to Friday, 8:00am to 5:00pm. \n
- Salary: £30,000-£35,000 per annum (dependent on experience). \n
