HR Administrative Assistant - Modesto, CA and San Ramon, CA
Position Overview Join a cohesive, friendly, and supportive HR team in a large, fast-paced healthcare environment. Serving as short-term leave coverage for an HR Generalist, this role handles essential day-to-day administrative support, credentialing, and clerical operations. The ideal candidate brings a strong administrative or entry-level HR background, exceptional organizational skills, professional communication for interacting with hospital leadership, and a hands-on attitude toward high-volume support tasks.
Responsibilities
- Perform basic and heavy filing support to maintain compliant, up-to-date employee records.
- Process subpoena file copy requests and assist with internal staff transfers.
- Conduct primary source verifications for professional licensure through California licensing agencies.
- Manage job shadowing requests, including coordinating orientation and internal scheduling.
- Clear contract workers and assist with onboarding workflows.
- Process education/certification reimbursements, sign-on bonuses, and employee referral bonus requests.
- Create employee ID badges and update tracking systems in Microsoft Excel.
- Provide administrative and clerical support for the occupational health TB and flu clinic, including check-ins, form collection, and data entry.
- Deliver general office support, including answering phone calls, handling employee walk-ins, and delivering high-touch customer service.
Required Qualifications
- High school diploma or equivalent.
- Proven background in general administrative tasks with comfortable adaptability to heavy filing and high-volume clerical support.
- Highly professional demeanor with strong written and verbal communication skills.
- Excellent customer service skills with the confidence to interact professionally with hospital leadership.
Preferred Qualifications
- College coursework or an active pursuit of a degree in Human Resources, Business Administration, or a related field.
- Entry-level HR experience or prior administrative exposure within a healthcare/hospital environment.
- High degree of organization and familiarity with Microsoft Excel.
Schedule
- Monday through Friday, 8:00 AM - 4:30 PM or 7:30 AM - 4 PM (40 hours/week; standard day shift with no expected overtime).
Compensation
- $26 - $27/hour
