We are currently recruiting for an Administrative & Operations Assistant to join the team of a fast-growing global pharmaceutical company specializing in the development, manufacturing, and marketing of products supporting human health, animal health, and nutrition.

Position Overview

The Administrative & Operations Assistant will provide administrative and operational support to the site. This position will assist with reports, filing, data entry, recordkeeping, and other administrative functions while also providing support in the production area when needed.

The ideal candidate is someone who is comfortable working with computers and data, learns new systems quickly, pays close attention to detail, and is willing to step into a production environment when business needs require it.

A two-year or four-year degree is preferred, making this a particularly good opportunity for a recent graduate or someone looking to transition into a career within pharmaceuticals, biotechnology, life sciences, quality, manufacturing, or operations.

Responsibilities
  • Provide day-to-day administrative and operational support to the site
  • Perform accurate data entry into company systems and databases
  • Prepare, update, and maintain reports and spreadsheets
  • Organize, maintain, and file company records and documentation
  • Assist with document control and recordkeeping
  • Maintain accurate and organized electronic and paper files
  • Compile information and assist with routine reporting
  • Enter, retrieve, and verify information in various computer systems
  • Assist with tracking production or operational information as needed
  • Communicate professionally with employees, supervisors, and other departments
  • Assist with special projects and other administrative duties as assigned
  • Learn and follow company procedures, quality standards, and safety requirements
  • Provide support in the production area when needed
  • Be willing to flex between administrative and production responsibilities based on business needs
Qualifications
  • High school diploma or GED required
  • Associate degree or Bachelor's degree preferred
  • Previous administrative, office, data entry, or manufacturing experience preferred
  • Strong computer skills and the ability to learn new software and systems
  • Experience with Microsoft Office, particularly Excel and Word, preferred
  • Strong attention to detail and accuracy
  • Excellent organizational and time-management skills
  • Ability to work independently and as part of a team
  • Strong written and verbal communication skills
  • Ability to handle confidential and sensitive information appropriately
  • Ability to prioritize multiple tasks and meet deadlines
  • Must be comfortable working in both an office and production environment
  • Must be willing to perform production-related duties when needed
  • Ability to follow written procedures and maintain accurate documentation
Ideal Candidate

This position would be an excellent fit for someone who:
  • Has recently completed an Associate or Bachelor's degree
  • Has administrative or office experience and wants to move into the life sciences industry
  • Has a degree in business, science, biology, chemistry, healthcare, manufacturing, or a related field
  • Has experience with data entry, reporting, documentation, or office systems
  • Is interested in building a long-term career in pharmaceuticals, biotechnology, quality, manufacturing, or operations
  • Is comfortable learning new processes and computer systems
  • Doesn't mind getting out of the office and supporting production when needed
Previous pharmaceutical or life sciences experience is NOT required. We are looking for someone with the right combination of administrative ability, attention to detail, willingness to learn, and interest in developing a career in the industry.
