Job Type: Full-Time

Pay: $25–$30 per hour


Position Overview

A growing property and HOA management organization is seeking an experienced Executive Assistant / Office Manager to serve as the Director’s right hand.


This is a key position for a highly organized, proactive professional who can anticipate needs, manage competing priorities, and keep executive and office operations running efficiently. The ideal candidate takes ownership, exercises sound judgment, and handles confidential information with professionalism.


Experience with property management, real estate, contracts, or legal documentation is highly preferred.


Key Responsibilities
  • Manage the Director’s calendar, meetings, appointments, and travel arrangements.
  • Serve as a primary point of contact for executive communications and follow-up.
  • Prepare correspondence, reports, presentations, and meeting materials.
  • Draft, review, organize, and maintain contracts, agreements, and business documents.
  • Coordinate with title companies, vendors, clients, and business partners.
  • Oversee office operations, supplies, equipment, and vendor relationships.
  • Assist with invoices, expenses, and accounting documentation.
  • Develop and improve administrative procedures, workflows, and filing systems.
  • Manage multiple projects and deadlines with minimal supervision.
  • Lead special projects from planning through completion.
Qualifications
  • Five or more years of Executive Assistant, Office Manager, or senior administrative experience.
  • Experience directly supporting a business owner, Director, or senior executive.
  • Exceptional organizational, time-management, and prioritization skills.
  • Strong written and verbal communication abilities.
  • Excellent attention to detail and follow-through.
  • Ability to maintain strict confidentiality and exercise sound judgment.
  • Advanced proficiency with Microsoft Word, Excel, and Outlook.
  • Experience with Adobe Acrobat and electronic document management.
  • Ability to work independently and adapt quickly when priorities change.
  • Professional demeanor and strong customer-service skills.

Experience in property management, HOA management, real estate, contract administration, or as a Paralegal or Legal Assistant is a plus but not required.
