Property Operations Manager

\nWe are seeking an experienced Property Operations Manager to join our growing business and take ownership of the day-to-day operations of a residential property portfolio.
\nThis is a varied and hands-on role that combines property management, compliance oversight, tenancy administration, maintenance coordination, and business operations. You will play a pivotal role in ensuring our portfolio is managed efficiently, compliantly, and to a high standard while helping to improve systems and processes across the business.
\nThis position is ideal for a self-starter who thrives in a fast-paced environment, enjoys problem-solving, and can work independently while managing multiple priorities.
\nKey Responsibilities:
\nProperty & Portfolio Management
\n- \n
- Act as the primary point of contact for tenants, contractors, and suppliers. \n
- Manage and coordinate maintenance requests from initial report through to completion. \n
- Coordinate routine property inspections, move-ins, and move-outs. \n
- Respond to tenant queries and resolve day-to-day property issues efficiently. \n
- Maintain accurate property records and documentation. \n
- Identify operational challenges and implement practical solutions. \n
- Support the ongoing improvement of business systems, processes, and efficiencies. \n
Compliance Management

- Manage and monitor all statutory compliance requirements across the property portfolio. \n
- Track Gas Safety Certificates, EICRs, Legionella assessments, PAT testing, HMO requirements, and other property compliance obligations. \n
- Maintain an accurate compliance calendar and ensure all certifications remain up to date. \n
- Proactively manage upcoming deadlines and arrange inspections and renewals. \n
Tenancy Administration, Deposits & Inventories

- Oversee tenancy administration throughout the tenancy lifecycle. \n
- Coordinate tenancy agreements, renewals, and related documentation. \n
- Manage tenancy deposit registrations and associated administration. \n
- Arrange inventories, check-ins, and check-outs. \n
- Handle deposit return negotiations and support dispute resolution where required. \n
Financial Administration & Bookkeeping Support

- Process supplier invoices and receipts accurately and efficiently. \n
- Assist with rent monitoring and arrears reporting. \n
- Input and reconcile transactions using accounting software such as Xero. \n
- Reconcile supplier statements and support general financial administration. \n
Digital Records & Process Improvement

- Convert and maintain paper-based records within a structured digital filing system. \n
- Ensure all portfolio documentation is organised and easily accessible. \n
- Identify opportunities to automate administrative processes and improve operational efficiency. \n
Essential
\n- \n
- Previous experience in property management, lettings administration, portfolio management, or a similar role. \n
- Excellent organisational and administrative skills. \n
- Strong communication and relationship-building abilities. \n
- Ability to manage multiple priorities and deadlines independently. \n

Additional Information
\nThis role offers significant autonomy and requires someone who is comfortable taking ownership of a broad range of responsibilities. While the role is primarily Monday to Friday, occasional weekend working may be required to support business and operational needs.
