The roles would suit individuals who enjoy managing varied workloads, maintaining accurate records and contributing to a strong client experience.Key Responsibilities (but not limited to)Provide comprehensive administrative, executive and matter support to legal professionals and specialist teams.Manage diaries, appointments, meetings, room bookings, travel arrangements and supporting documentation.Handle client enquiries, maintain professional communication and gather relevant background information.Prepare, proofread and format correspondence, reports, forms, legal documentation, presentations and meeting materials.Maintain accurate client, matter, database, case management and document management records.Support file opening, file management, workflow monitoring, matter progression and file closure procedures.Assist with property, private client or other legal documentation, searches, forms and transaction administration where required.Coordinate billing, invoice management, expense administration and transaction or matter status reporting.Monitor inboxes and communications, prioritising and escalating urgent matters appropriately.Take minutes, prepare meeting notes and support internal and external meetings when required.Support business development, marketing, CPD, networking and wider team activities as needed.Provide cover and assistance across the wider support team during periods of absence or increased workload.Ensure compliance with information security, confidentiality and data protection requirements.Candidate ProfileEssential Skills & ExperiencePrevious experience in an administrative, legal support, executive assistant, personal assistant, paralegal or similar professional services role.Experience supporting legal, financial or professional services teams in a busy client-focused environment.Excellent organisational skills with the ability to prioritise workload, manage deadlines and work accurately under supervision or independently.Strong written, verbal and interpersonal communication skills, with confidence engaging with clients and colleagues at all levels.High attention to detail and strong document production, formatting and proofreading skills.Good IT skills, including Microsoft Office applications such as Word, Outlook, Excel and PowerPoint.Confident using office, case management, document management or workflow systems.Professional, proactive, collaborative and solutions-focused approach.Flexible approach to working practices, changing priorities and business needs.DesirablePrevious experience within private client, residential property, conveyancing, wealth management or another specialist legal environment.Legal qualification, paralegal qualification, law degree or directly relevant work experience.Exposure to billing, finance administration, legal searches, registration forms or matter reporting.Experience supporting business development, marketing, training or networking activities.What's on OfferCompetitive salary and benefits package.Permanent, full-time opportunity within a respected legal practice.Opportunity to join a collaborative, client-focused specialist team.Ongoing training, CPD and professional development support.Supportive, flexible and team-oriented working culture.Next StepsTo learn more about these opportunities, please submit your application or contact our team on 0131 376 3376.Due to the high volume of applications we receive, only short-listed candidates will be contacted.If you have not heard from us within 5 working days of submitting your application, please assume that your application has not been successful on this occasion.Equal OpportunitiesCross Resourcing is committed to promoting equality, diversity and inclusion in the workplace.
