Job Summary
We are seeking a highly organized Administrative Assistant who takes pride in accuracy, follow-through, and creating a well-organized workplace experience for employees and visitors. This role will provide critical administrative and invoice coordination support for a professional banking and consumer lending office during a staffing transition.
The Administrative Assistant will help keep daily office operations running smoothly by supporting invoice processing, office administration, supply management, employee events, mail coordination, and building management requests. This is an excellent opportunity for a detail-oriented administrative professional who enjoys working in a polished corporate environment with supportive teams across Administration, Finance, Human Resources, and Facilities.
Key Responsibilities:
- Monitor shared administrative mailboxes for invoices, billing notices, office requests, and general administrative inquiries.
- Review invoices for accuracy, verify supporting documentation, track status, and route invoices to designated approvers.
- Support daily office operations, including mail, courier services, shipments, deliveries, parking validations, and building management work orders.
- Coordinate employee lunches, meetings, training events, office functions, and employee engagement activities.
- Maintain office supply, pantry, and operational inventory levels, including replenishment, purchase requests, approvals, and inventory records.
- Provide general administrative support to staff and management while ensuring office common areas remain stocked, organized, and professional.
- Pay Range: $24 to $26 per hour, DOE.
- Job Type: Contract/Temporary.
- Location: Los Angeles, CA.
- Schedule: Monday through Friday, 8:00AM or 9:00AM to 5:00PM.
